WPSC PRIVACY POLICY

Privacy Policy for West Point Spouses Club

Effective Date: August 1, 2026

West Point Spouses Club (“WPSC,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our website, use our forms, register for events, join or renew membership, make payments, attend club-sponsored events, or otherwise interact with us online or offline.

By using our website or services, or by attending club-sponsored events, you agree to the terms of this Privacy Policy.

Information We Collect

We may collect information you provide directly to us, including your name, email address, mailing address, phone number, spouse or membership details, event registration information, and any other information you submit through forms, surveys, sign-ups, or direct communications.

If you make a payment or complete a membership transaction, we may also collect related transaction details such as amount, date, and membership type.

We may also collect information automatically when you visit our website, such as IP address, browser type, device information, pages viewed, referring URLs, and general usage data through standard website analytics or security tools.

If you attend a club-sponsored event, we may collect or create photographs, video recordings, or other media in which you may appear.

How We Use Information

We use the information we collect to operate and improve our website, manage memberships, process registrations and payments, communicate with members and supporters, respond to questions, share event and club information, maintain records, and meet legal or administrative obligations.

We may also use information to send newsletters, announcements, updates, and other communications related to club activities. You may opt out of non-essential email communications at any time by following the unsubscribe instructions in the message or by contacting us directly.

We may use photographs, video recordings, and related media from club-sponsored events for club communications, promotional materials, social media, website content, newsletters, historical archives, and other mission-related purposes.

How We Share Information

We do not sell or rent your personal information.

We may share information only in limited circumstances, including with trusted service providers that help us operate the website, process payments, manage memberships, send email, store files, analyze site usage, or support internal operations.

For example, we use WordPress, Elementor, and the Astra theme to operate our website, Zeffy to process payments and manage memberships, Google Admin services for email, file storage, and related business operations, and Google Analytics to understand website traffic and usage patterns.

We may also disclose information if required by law, to protect our rights or property, to respond to lawful requests, or to address fraud, security, or safety concerns.

Payments and Memberships

When you make a payment or join through Zeffy, payment-related information is processed through Zeffy and its payment partners rather than stored directly on our website. We may receive limited transaction and membership information needed to confirm payment, record membership status, provide receipts, or communicate with you about your account.

Because Zeffy is a third-party service, your use of its payment or membership tools is also subject to Zeffy’s own terms and privacy practices.

Cookies and Analytics

Our website may use cookies, pixels, and similar technologies to support site functionality, improve performance, understand usage, and enhance the user experience.

We use Google Analytics or similar analytics tools to better understand how visitors use our website, such as which pages are visited, how users arrive at the site, and general patterns of engagement. Google Analytics may collect information such as your IP address, browser type, device information, and interactions with the website.

You can usually adjust browser settings to limit cookies, but some site features may not function properly if cookies are disabled.

Photography and Video

By attending a West Point Spouses Club-sponsored event, you acknowledge and agree that photographs, video, or other recordings may be taken during the event and used by WPSC for communications, promotional, archival, educational, or historical purposes.

This use may include, without limitation, publication on the WPSC website, social media channels, newsletters, email communications, printed materials, and other club-related media.

If you do not want your image or likeness used, please do not attend the event area where photography or recording is taking place, or notify a club representative in advance or at the event. While we will make reasonable efforts to honor such requests, we cannot guarantee that incidental inclusion in group or candid event media can always be avoided.

Email and Google Services

If you communicate with us through Google Admin-powered email or submit information that is stored in Google-managed tools, that information may be processed and stored within Google’s systems as part of our normal operations. We use these services for communication, collaboration, storage, and administrative purposes.

Data Retention

We keep personal information only as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, maintain our records, comply with legal obligations, resolve disputes, and enforce our agreements.

We may retain event photographs, video, and archival media for ongoing club, historical, and recordkeeping purposes unless removal is required by law or otherwise determined appropriate by the club.

Security

We take reasonable administrative, technical, and organizational measures to protect the information we collect. However, no website, email system, or online storage service can be guaranteed to be 100 percent secure, and we cannot promise absolute security.

Your Choices

Depending on your relationship with us and applicable law, you may request access to, correction of, or deletion of certain personal information we hold about you. You may also opt out of promotional emails at any time.

To make a request, contact us using the information below.

Children’s Privacy

Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 without appropriate consent. If we learn that we have collected such information, we will take reasonable steps to delete it.

Our website may contain links to third-party websites or services. We are not responsible for the privacy practices, content, or security of those third-party sites, and we encourage you to review their privacy policies separately.

Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated effective date. Your continued use of our website, services, or attendance at club-sponsored events after changes are posted means you accept the revised policy.
